What Can a Virtual Business Manager Do to Support You

Imagine having a Virtual Business Manager (VBM) in your business. When PMSpecialist serves as the VBM for our clients, we work together as their partner. It provides a level of trust with one another, and we all know what is going on in the business, there is no hidden agenda. Having a VBM is a beautiful thing, they get to know the full picture and scope of the business. Having a VBM, how would that impact your business?

In this post, I will focus on what a VBM can do for you and your business.

When your business is scaling and ready to bring on a Virtual Business Manager, you want to consider them a partner. One who strategically works with you to build and support your organization. While, yes, they can run a specific project for you, they could also help you to create and implement your business plan and while being the one who helps you keep everything growing and moving forward towards your goals.

Is It Time to Delegate These Tasks to A Virtual Manager?

Let’s look at what you can delegate to a VBM that will keep things running smoothly for you and your business.

  1. Team Management. The VBM could take over the direct management of your team members, virtual and onsite staff. The interview and hiring process, scheduling, assignment of duties, providing direction and support to the team as needed can all be handled by a VBM.
  2. Project Management. From the onset of the project, you can give direction and input your VBM who then creates the workflow, gives assignments, reviews the work, handles all questions, and will report to you the progress. Using a program such as Teamwork, our preferred program, can keep everyone on the project up to date with their tasks as well as the overall status of the assignment.
  3. Business Management. Your VBM can be responsible for maintaining your financial records, budgeting, bookkeeping, monthly reports, systems, and automation processes that streamline your business.
  4. Technical Support. Website and other system maintenance, troubleshooting problems, and contacting support for a resolution. Perhaps you would like to set up member sites or courses that require automation. Zapier can be used to connect apps and automate workflows with ease.
  5. Customer Relations. Communicating with your clients while creating an exceptional experience. This could be email campaigns, newsletters, managing membership sites, monitoring emails, answering questions, or solving technical issues for your customers.

What Does Working with A VBM Look Like?

It is quite common for your VBM to have a team of Virtual Assistants (VAs) that help support your business, as we do at PMSpecialist. When working with a virtual staff, both VBMs and VAs, it is easy to see the differences, though both can be utilized to streamline your business. Providing different levels of service, the collaboration between them only strengthens your team. Here are some of the things we do for one of our clients, who is a speaker and coach.

  1. Email Management. We review and respond to the emails that we have been assigned to handle. For example, if a customer has a billing question or has tech issues with their member site, we will resolve it. No need for our client to be involved.
  2. Technical Support. If there is an email drip campaign or say a program beginning, our team will set up the emails, drip schedules, and technical pieces after the client advises us on how the schedule should flow.
  3. Client Interactions. As the VBM, I am advised what emails we should address, such as questions about the program, or next steps, and resolving the situation. These interactions are assigned to us because of the trust and loyalty we have developed with our client. If we are not sure of the answer, of course, we would ask how it should be handled.
  4. Speaking Engagements. When a speaking lead comes in, we will follow-up to see if it is a good fit and if the date is available on the calendar. If a client moves forward with the event, we begin the communication process by creating the speaking agreement, invoicing, setting up the content call, confirming the logistical details and booking the travel arrangements. Client is ready to go to her speaking engagement.
  5. Event Management. Whether she has a live or virtual event, we arrange the location, set up the registration, send the marketing emails, design the materials, create the schedule, and more.

I think it is evident the time we save her daily is significant. After working together for years, we take over when she is traveling or on vacation. She can enjoy her time off. No phones ringing. No staying connected to her laptop. Just a check-in via email to see if anything is needed.

In Conclusion These are a few of the things a VBM can do to support you and your business. Having a trusted partner to depend on leaves you time to do what you most enjoy, and what you started your business to do while knowing that the many tasks at hand are being handled.
